- New Record: This event signifies the first step in streamlining your onboarding process. When you create a new candidate or employee profile in Xenqu, we initiate automated communication, streamline data entry, and assign all necessary onboarding tasks for your configured workflow. Even if a candidate doesn’t complete tasks, you’ll save big on the reduction in administrative burden.
- Engaged Record: This event reflects the true power of Xenqu, as a candidate actively engages with the platform and completes assigned tasks. This is where the platform’s full feature set truly shines. Xenqu’s ease of use and intuitive interface create a seamless experience, resulting in a significantly lower falloff rate. With an average of 90% of engaged candidates completing all assigned tasks, this event demonstrates the platform’s effectiveness in turning potential candidates into successful hires.
- Active Record: This event represents the ongoing value of Xenqu, as you manage your existing candidate or employee records. It signifies a commitment to efficient maintenance, whether updating documents due to expiration or handling re-hires and redeployments. This lower fee reflects that you are probably adding fewer tasks, but the software still manages all necessary notifications, automation, and data setup, minimizing administrative burden and streamlining operations.

Form Setup Services
Are you too busy to set up your forms? With our form setup services, we can convert your PDFs into interactive, mobile-optimized forms. Our Gold and Platinum support plans have this service bundled at a discounted rate.

What We Do:
- Take your existing PDF and transform it into a user-friendly form within the Essium platform.
- Make your forms accessible on any device. We ensure a smooth, intuitive experience for candidates completing forms on their smartphones or tablets.
- Place fields on your PDF background, creating a visually appealing and functional form that pre-fills data and validates entries.
- Add your newly created form to your Essium instance library and designated packages, making it immediately available for onboarding.
Limits
While our goal is to provide a seamless experience, there are limitations to our standard Form Setup Services to ensure a streamlined process and deliver the highest quality results:
- Form Complexity: We recommend forms with up to 3 pages and 50 fields for optimal performance. Forms exceeding these limits require a surcharge for the additional complexity.
- Mobile Optimization: Our optimization features excel with simple forms containing labels and short descriptions. Forms with extensive text, images, or intricate formatting may not be fully optimized for mobile devices.
- Translation: We currently do not offer translation services. Please provide translated versions of your form for each language you need to support. English versions are required for field mapping purposes.
- Custom Coding: Our focus is on creating functional, easy-to-use forms. While we can handle basic layout adjustments, we cannot make highly complex designs or specialized forms from scratch. For custom development, we offer consulting hours through our solutions team.
Consulting
Our team collaborates with you to develop unique workflows that match your needs, streamlining your hiring process. We offer consulting services and technical support to implement these custom workflows and ensure continued support.

Essium offers flexible data import services to transition your existing data seamlessly. We provide three options tailored to your needs:

Contacts Only: This option imports only your contact records, providing a clean transfer of your existing candidate information into Xenqu. It is perfect for a quick start or if you want to migrate your data gradually.
Contacts + Expirations: In addition to contact information, this option imports data and sets placeholders for expiring items with the associated expiration dates. This allows Xenqu’s powerful expiration monitoring feature to immediately track and alert you to upcoming deadlines, minimizing the risk of missed renewals and maximizing your efficiency.
Contacts + Expirations + Files: This comprehensive option imports contact information, sets expiration placeholders, and transfers associated files. This creates a complete historical record within Xenqu, providing a fully populated and immediately actionable database. This is ideal for a complete system migration, ensuring a seamless transition without data loss.
Committed Use Discount
Essium's Committed Use Discount program lets you secure up to 70% savings on a preset monthly usage spend amount.

Committed Spend: You agree to a minimum monthly spend for your usage fees. Any combination of usage events contribute to this spend amount.
Committed Usage Fee: The Committed Spend is discounted by the applicable percentage from our discount rate table. You’ll pay that discounted amount monthly for a year regardless of your monthly usage spend.
Overage: Any usage that exceeds your Committed Spend is billed at our regular listed price for your selected subscription plan.
Savings: Your savings are the difference between the Committed Spend amount and the calculated Committed Usage Fee. We can help you find the optimal amount by analyzing your current hiring patterns and month-to-month onboarding variability.
